HVAC overflow answering

The busy-season call your office cannot get to, answered.

Forward on busy or no answer and your office still takes the calls it can. Pickwick answers the next one, reads the address back, sorts the no-cool call from the noisy condenser, and holds the job for your yes.

When the office is open and still cannot get to the phone

Not every missed call rings at night. Plenty ring in the day, on the days the phone matters most:

  • The first hot week, when every no-cool call in town comes in before noon and the techs are already on roofs.
  • The first freeze, when the no-heat calls start at dawn, before the office has finished its first cup of coffee.
  • The dispatcher on the other line, rearranging the afternoon around a compressor that will not start.
  • Lunch, the school run, the supply house, the half hours a small office is one person short.

Those callers have a reason not to wait: the house is hot or cold right now. A call center that answers for many trades at once is one way to catch them; forwarding only the calls your office cannot reach is another.

Forward on busy or no answer: your office answers first

Overflow forwarding leaves your phone exactly as it is. Set it to forward on no answer after a few rings, or when the line is busy, and only a call that would have gone to voicemail reaches Pickwick. If your line has call waiting, a second caller usually hears ringing rather than a busy signal, so no-answer forwarding is the setting that catches them. Each is one code from your phone and the same code switches it back; the codes by carrier are in the forwarding guide, and the order to set them in is in forwarding your line.

Pickwick takes more than one call at a time, so a caller who reaches it while it is talking to someone else is answered too.

What the overflow caller gets

The same call your office would give, in English or Spanish:

  • An honest start: it says it is automated and that the call is recorded, then asks what is going on.
  • The details read back: the callback number, and the address with the house number said digit by digit, so a misheard digit is caught on the call, not at the door.
  • The call sorted the HVAC way: no cooling with a baby or an elderly person in the house is flagged to the people you list at once; a gas smell or a carbon monoxide alarm hears a fixed 911 line first; a noisy condenser waits its turn. The full list is on the HVAC answering service page.
  • The job penciled in from your hours and bookings, held for your yes by default.

What your dispatcher sees between calls

The dashboard opens on Right now, with the urgent calls at the top: each with the address it read back and a number to call. Below them, the tune-ups and estimates it penciled in, each waiting for one tap to approve. On Pro, dispatchers and technicians can be on the approval list, so whoever is free clears the queue, and the bookings sync with Google Calendar or Microsoft 365. By default, nothing goes on the schedule that your office has not seen.

Which plan fits a busy season

Plans are by the minute, so a quiet month costs the plan and a heat wave costs the overage: $149 a month for 600 minutes (about 200 three-minute calls), then $0.49 a minute; $349 for 1,000 minutes; $749 for 2,500. No setup fee, month to month, Spanish included, and the first 14 days on your own number are free with no card. The numbers are on the pricing page, and the billing models of the market are compared in what an answering service costs.

The After-hours & overflow plan fits a shop that answers its own phone and wants the spill-over caught. Pro adds calendar sync and dispatchers on the approval list. Business is for up to three lines or locations. To see whether it pays for your shop, put last summer's missed calls into the missed-call calculator.

What it will not do

  • No pretending. It says it is automated in its first sentence and never claims to be a person.
  • No invented prices or times. Your fee in your words, or a callback; an arrival window only from your hours and bookings.
  • No repair advice beyond checking a thermostat or resetting a tripped breaker.
  • No selling past a hazard. A caller who names gas, carbon monoxide, smoke or sparking hears a fixed 911 line before anything else.
  • No texting yet. Texting a caller back waits on carrier registration for business texting; until then the request reaches you in the dashboard app.

It is not a replacement for your dispatcher. It catches the calls your dispatcher cannot get to, and hands them back sorted.

Questions HVAC shops ask about overflow answering

Questions people type into a search engine, answered straight. Anything else: write to us.

Will my office still answer first?

Yes, with forwarding set to no answer or busy. Your phone rings as it always has, and only a call nobody picks up, or one that rings while the line is busy, reaches Pickwick. If you have call waiting, no-answer forwarding is the setting that catches the second caller.

What is the difference between this and an HVAC call center?

A call center puts a person on the line who answers for many businesses from a script. Pickwick is software: it says it is automated in its first sentence, reads the address back digit by digit, sorts the call by your rules, and pencils the job in for your yes. It answers more than one call at a time, at any hour.

What does it cost in a busy month?

The plan price plus the minutes over it. The After-hours & overflow plan is $149 a month for 600 minutes, then $0.49 a minute; Pro is $349 for 1,000 minutes, then $0.39; Business is $749 for 2,500, then $0.29. Month to month, no setup fee.

Can it book straight into my calendar?

On Pro and Business it syncs with Google Calendar or Microsoft 365. By default each booking is held for your yes, one tap in the dashboard app; you can let routine jobs book themselves. Anything that sounds like an emergency still goes to a person.

What happens to an emergency call during business hours?

The same as at night. A caller who names gas, carbon monoxide, smoke or sparks hears a fixed 911 line first. No heat in a freeze or no cooling with a vulnerable person in the house is flagged to the people you list at once, and it sits at the top of Right now in the dashboard.

Can I switch it off when the season ends?

Yes. The forwarding code that turns it on also turns it off, and the plans are month to month with no setup fee. You can keep after-hours forwarding all year and add busy or no-answer forwarding for the hot and cold months.
